This page outlines our standard operating procedures for onboarding and maintaining new web design and development, SEO and marketing clients.
Step 1: Scoping Meeting
A formal meeting with the client to thoroughly understand the scope of work, timeframes, and resource requirements to fulfill the client’s requirements or projects. During this meeting, the client will provide a verbal explanation of the full scope and all relevant requirements.
Step 2: Quoting
Within 48 hours of the scoping meeting, a formal quote will be prepared and provided to the client. The quote will include an estimated cost for the project and will clearly outline the tasks and hours required to complete the project. It will also indicate any additional out-of-scope work and associated rates, if applicable.
Step 3: Scope Approval
Upon receiving the quote, the client will review and approve it by signing a copy of the quote and providing proof of payment for a 50% deposit as agreed upon.
Step 4: Wireframing
Once scope approval is received, the wireframing phase will commence immediately. This phase involves creating a visual representation of the project, typically in the form of wireframes or mockups. Agreed-upon feedback meetings will be scheduled to ensure alignment with the client’s requirements.
Step 5: Content Phase
The client will be responsible for providing all required information and content for the project. This phase may involve back-and-forth communication via written channels, such as email, to ensure that all instructions related to content are documented.
Step 6: Building
Upon receiving all necessary content, the development phase will begin, where the website or software will be built as per the agreed-upon scope. The client will make a 25% payment for this phase to commence.
Step 7: Refinements
After the initial staging of the website or software, the client will have an opportunity to review and provide feedback for final refinements before giving the final approval for “go live”.
Step 8: Go Live
Upon receiving the final approval from the client, the remaining 25% payment as per the agreed-upon terms will be made, and the website or software will be launched or deployed.
Following this formal process helps ensure that the software development project progresses smoothly, with clear communication and alignment with the client’s requirements and expectations.
Scoping Meeting:
A meeting will be conducted to thoroughly understand the client’s requirements or projects related to website maintenance. The purpose of this meeting is to determine the work, time, and resources needed to fulfill the client’s requirements. The client will verbally explain the full scope and all relevant requirements during this meeting.
Quoting:
Within 48 hours of the scoping meeting, a quote will be provided to the client. The quote will include an estimated cost for the website maintenance, with no additional out-of-scope work, but it will indicate any out-of-bundle rates. A clear breakdown of intended hours and tasks to be completed will be communicated along with the quote.
Approval:
The client will review the quote and if they agree, they will return a signed copy of the quote along with proof of payment of the first monthly payment as per the agreed-upon terms.
Maintenance Period:
Website or software maintenance will be rolled out as long as the service contract remains active. The maintenance activities will be carried out based on the agreed-upon scope, tasks, and timeline as communicated in the quote and contract. Any changes or updates required during the maintenance period will be addressed as per the agreed-upon terms.

Scoping:
In this stage, the project team defines the project scope, which includes determining the goals, objectives, deliverables, and timeline of the project. This may involve conducting initial meetings with stakeholders, gathering requirements, and clarifying the project’s purpose and objectives.
Quoting:
Once the project scope is established, the next step is to create a detailed quote or proposal. This may involve estimating the time, effort, and resources required for the project, as well as providing cost estimates and timelines to the client or stakeholders. It’s important to ensure that the quote is comprehensive and accurately reflects the project’s scope and requirements.
Final Scope Approval:
After the quote or proposal is submitted, it may undergo a review and approval process. This stage involves obtaining final approval from the client or stakeholders on the project scope, timeline, and cost. Any necessary revisions or adjustments to the scope or quote can be made at this stage, and once the final scope is approved, the project can move forward.
Kickoff:
The kickoff stage marks the official start of the project. It involves assembling the project team, setting up communication channels, and conducting an initial project meeting to align all team members on the project’s goals, objectives, and expectations. This stage may also involve sharing project documentation, establishing project management tools, and setting up a project schedule.
Content Gathering:
For web projects, content gathering is a crucial stage where the project team collects all the content that will be included in the website, such as text, images, videos, and other media. This may involve working with the client or stakeholders to gather existing content or creating new content, and organizing it in a way that aligns with the project’s objectives and design.
Development:
The development stage involves the actual creation and implementation of the web or software project. This may include designing and coding the website or software, testing functionality, and integrating content. It’s important to follow the agreed-upon timeline, and regularly communicate with the client or stakeholders to provide updates on the progress and address any issues or concerns.
Maintenance:
Once the web or software project is completed and launched, it’s important to plan for ongoing maintenance and support. This may involve monitoring the performance of the website or software, resolving any bugs or issues that arise, updating content or features as needed, and providing ongoing support to the client or stakeholders. Maintenance ensures that the project remains functional, up-to-date, and aligned with the client’s needs and goals.
